Why I Switched to Jane: The Private Practice EHR That Actually Makes My Life Easier
TL;DR: Is Jane a good EHR for therapists?
If you’re a therapist or psychologist looking for an EHR for your private practice, Jane is one of the platforms I recommend most often.
I switched from SimplePractice to Jane because I wanted an EHR that was:
Customizable
Easy for my clients to use
Professional-looking
Built around self-scheduling
Flexible enough for the way I actually run my practice
Supported by real people when I need help
And honestly? The customer support is one of my favorite things about Jane.
When you sign up, you can schedule a one-on-one onboarding call where someone from the Jane team walks through your setup with you. If you’re switching from another EHR, Jane also has an import process to help move your data over.
If you want to try Jane for your own practice, you can sign up for Jane here and use my code SALENA1MO to get one month free.
Why did I switch EHRs in my private practice?
Your EHR is one of those things you interact with constantly as a therapist.
You use it to:
Schedule appointments
Manage client information
Send intake paperwork
Document sessions
Communicate with clients
Keep track of your calendar
Manage payments and billing
Handle cancellations and rescheduling
So when your EHR is frustrating, you feel that frustration constantly.
I had been using SimplePractice, and while there are certainly things I liked about it, I eventually realized I wanted something that gave me more flexibility and customization.
I wanted my practice management software to feel like it actually belonged to my practice.
That’s one of the reasons I ended up switching to Jane.
And the transition was much easier than I expected.
What makes Jane different from other EHRs for therapists?
One of the biggest things I love about Jane is that it doesn't feel like you're being forced to run your practice according to the software.
You can customize the software around the way you work.
Jane describes itself as flexible practice management software that brings scheduling, charting, billing, payments, communication, and other practice functions together in one system.
For me, that flexibility matters because my practice isn't necessarily structured like a traditional therapy practice.
I might have:
Consultation calls
Therapy appointments
Assessment appointments
Different appointment lengths
Different types of clients
Different availability throughout the week
I want my scheduling system to understand those differences.
Jane allows me to set up my schedule around how I actually work.
Can therapists customize Jane to match their brand?
Yes! This is one of my favorite features.
Your online booking experience can be customized so that it feels like an extension of your practice rather than sending clients to some random-looking third-party scheduling page.
You can customize things like your branding, appointment types, providers, and what clients are able to book online. Jane specifically offers customizable online booking and scheduling.
This matters more than you might think.
Think about the client experience.
Someone finds your website.
They read about your services.
They decide they want to work with you.
And instead of emailing you:
“Hi! Are you accepting new clients? What times do you have available? How do I schedule?”
They can click through to your booking page and see what you've made available.
That means less back-and-forth for you and a much easier experience for the client.
How does self-scheduling work with Jane?
This is probably the feature I use the most.
I love being able to let clients schedule themselves without having to email me back and forth.
For example, I can decide:
What hours I'm available
What appointment types can be scheduled
Which appointment types are available at specific times
How far in advance clients can book
What scheduling rules apply
What cancellation window I want
Jane's online booking system uses your actual availability, while respecting things like booking limits, notice periods, and buffers that you set.
So instead of me manually managing every appointment, the system handles a lot of it for me.
And that's exactly what I want from an EHR.
I don't want software that creates more administrative work.
I want software that removes administrative work.
Can clients schedule consultations themselves?
Yes.
This is particularly helpful if you offer consultation calls for new clients.
I can make a consultation appointment type available for online booking, and prospective clients can choose a time that works for them.
Once they book, Jane can connect the appointment with other parts of the client workflow, including intake forms and reminders.
That means the process can look something like:
Someone finds your website → clicks to schedule → chooses a consultation → receives the appropriate paperwork → shows up for the appointment.
That's a much easier system than manually emailing back and forth with every potential client.
Can clients reschedule their therapy appointments?
This is another feature I really appreciate.
I set my availability and scheduling rules, including my cancellation window.
For example, I currently use a 24-hour cancellation policy.
Within the rules I've established, clients have the ability to make changes to their appointments without me having to manually coordinate every single schedule change.
That gives clients some autonomy while still protecting my time.
And honestly, this is exactly the kind of automation I want in a private practice.
I don't want to be my clients' personal scheduling assistant.
What is Jane's customer support like?
This is probably the biggest reason I recommend Jane.
There are actual humans available to help you.
And when you're setting up a private practice, that matters.
Because here's what happens when you switch EHRs:
You start thinking:
Where do I change this?
How do I set that up?
Why isn't this showing up?
How do I make this appointment type available?
How do I customize my intake forms?
How do I get my schedule to work the way I want it to?
Instead of spending three hours Googling everything, Jane gives you access to support and onboarding resources.
Jane currently offers a free one-on-one setup call and says its team can help with account setup and data migration.
When I onboarded, I was able to get on a video call and have someone walk me through the platform.
Not just send me a help article.
Someone actually walked me through it.
And if I have questions later, I can reach out to their support team.
Jane also provides phone, email, and chat support, along with an online help center and training resources.
For someone running a private practice, that level of support is incredibly valuable.
What if you're switching from another EHR to Jane?
This was one of my biggest concerns.
I did not want to manually recreate everything from my old EHR.
Fortunately, Jane has an import process specifically designed to help practices transition from other systems.
Jane says its import team has experience importing data from hundreds of software providers, and it provides guidance for exporting data from your existing system and getting it into Jane.
I was moving from SimplePractice to Jane, and the process involved downloading my information from SimplePractice and uploading it into Jane.
Then Jane's import team took it from there.
Jane's current documentation confirms that it can import things such as patient lists, appointment data, and electronic charts when the information is provided in a supported format.
And this is important because switching EHRs can sound like an enormous project.
You might be thinking:
“I have years of client information. There is absolutely no way I'm manually entering all of that again.”
You don't necessarily have to.
Jane has a dedicated import process and team to help make the transition easier.
Is Jane good for a solo therapist or psychologist?
Absolutely.
You don't need to have a giant group practice to benefit from Jane.
In fact, I think the customization is especially helpful for solo practitioners because you can build the system around your specific practice.
Whether you're:
Opening your first private practice
Leaving an agency
Transitioning from another EHR
Moving from SimplePractice
Adding private-pay services
Offering consultations
Seeing clients virtually
Seeing clients in person
Running a hybrid practice
Growing into a group practice
you can configure Jane around your workflow.
And if your practice changes?
You can change your system too.
That's one of the things I value most about it.
What features does Jane have for private practice?
Jane goes beyond just being an electronic health record.
Depending on your setup and plan, Jane can bring together things like:
Online booking
Scheduling
Charting and documentation
Intake forms
Automated reminders
Secure messaging
Telehealth
Payments
Billing tools
Patient information
Practice management
Calendar management
Jane describes its platform as bringing scheduling, charting, billing, payments, patient communication, and other practice-management functions into one connected system.
That means fewer disconnected systems to keep track of.
And if you're a therapist who already feels overwhelmed by the business side of private practice, that consolidation can make a huge difference.
What I like most about Jane
If I had to narrow it down, these are the things that stand out to me:
1. It's customizable.
I can build my scheduling and client experience around my practice rather than changing my practice to fit the software.
2. Clients can self-schedule.
This saves me a ridiculous amount of back-and-forth.
3. The client experience feels professional.
The booking experience can be customized to fit your practice and your branding.
4. The onboarding support is excellent.
You don't have to figure everything out by yourself.
5. Switching EHRs doesn't have to mean starting over.
Jane has an import process and a team that helps with transferring supported data from other systems.
6. There are actual people available when you need help.
This is huge.
Because when you're running a private practice, your time is money.
If you spend two hours trying to figure out how to configure your scheduling system, that's two hours you weren't spending on your clients, marketing, content, or literally anything else you need to do.
Is Jane worth it for therapists?
For me, yes.
I don't think there's one perfect EHR for every therapist.
Your needs, budget, practice structure, insurance setup, and preferences all matter.
But if you're looking for an EHR that is:
Flexible
Highly customizable
Professional
Easy for clients to use
Built around online scheduling
Supportive during onboarding
Helpful when you're switching from another EHR
Jane is absolutely one I'd consider.
And if you're already thinking about switching, I would especially recommend taking advantage of the onboarding support.
You don't have to know how to configure everything before you start.
That's kind of the point.
Let them help you build it.
Want to try Jane for your private practice?
If you're ready to check it out, you can sign up for Jane here.
And if you use my code SALENA1MO, you'll get one month free.
If you're switching from another EHR, don't let the idea of transferring everything stop you from considering it. Jane has an import process and dedicated support to help you through the transition.
I've personally made the switch from SimplePractice to Jane, and for me, the combination of customization, self-scheduling, and hands-on support has made it worth it.
Want more support building your private practice?
An EHR is just one piece of building a private practice that actually works for you.
If you're trying to figure out things like:
How to niche your practice
How to get more clients
How to use insurance strategically
How to build a hybrid private practice
How to market yourself online
How to get found through Google
How to create systems that save you time
How to build a practice that supports the life you actually want
I've created Private Practice Support to help therapists do exactly that.
You don't have to build your practice by yourself.
And you definitely don't have to figure out every piece of it through trial and error.
