Should I Join Headway? What I Wish I Knew Before I Credentialed With Them

TL;DR: Headway is a free credentialing and billing platform that gets therapists on insurance panels faster than doing it solo, and it works well if you're a solo practitioner who wants more referrals and less paperwork. It's not the right fit if you're building a group practice, you want full control over your own credentialing, or you're relying on it as your main source of new clients. Here's what actually factored into my decision.

What Is Headway, Actually?

Headway is a platform that handles insurance credentialing and billing for therapists, at no cost to you. They negotiate rates with insurance companies, submit your paperwork, process claims, and list you in their client-facing directory. In exchange, they take a cut from the insurance side, not from you.

If you've ever tried to get credentialed with Aetna or BCBS on your own, you already know why this sounds appealing. That process can take months and it's the kind of task that sits on your to-do list forever, half finished.

How the Credentialing Process Actually Works

✅ Sign up online, which takes about 5 minutes

✅ Fill out a more detailed intake form, roughly 20 minutes

✅ Wait for the actual credentialing, which can take anywhere from a few weeks to a few months depending on the insurance company and your state

✅ Sign your contract and start seeing clients

That timeline is the honest answer to "how long does Headway take." It's faster than doing it yourself, but it's not instant, so don't plan on adding a panel next week and filling that spot by next month.

The Pros of Joining Headway

No cost to you. No subscription, no per-claim fee. You keep seeing clients, they handle the back end.

Credentialing with major insurers, including Aetna, BCBS, Cigna, and UnitedHealthcare, without you personally chasing down paperwork.

Built-in referrals through their client directory, even if this shouldn't be your only referral source (more on that below).

Less admin. Claims get submitted and tracked without you learning a whole new billing system.

Telehealth tools are built in now too, so you're not stitching together five different platforms just to see clients.

The Cons Nobody Tells You

The credentialing technically belongs to Headway, not you. If you ever leave the platform, you don't get to take your panel status with you. You'd be starting that process over.

The directory is more crowded than it used to be. A lot of therapists are on it now, which means it's not the guaranteed stream of new clients it might have been a couple years ago.

It's not built for growth. If you're planning to bring on associates or build toward a group practice, Headway's structure won't really support that.

You're dependent on a venture-backed startup. That's not a dealbreaker, but it's worth knowing their business model could shift down the line, and that's out of your hands.

Reimbursement rates vary, and some therapists report they're lower than what you could negotiate credentialing independently, especially once you're a few years into practice.

So... Should You Join Headway?

For me, it made sense to add insurance back into my practice specifically for in-person clients in my home state, while keeping my private pay telehealth model exactly as it was. It wasn't a replacement for how I already run things. It was one more option layered on top.
